How to Submit Your Applications Online- Instructions


Part I - General Instructions

Submission of Online Application does not reserve any type of admission to the University which is  subject to compliance with Rules and Regulations of the University in force at the time of admission.

All Candidates applying for Common Admission Test 2013 (CAT 2013) should submit their applications on-line. International candidates and those applying for the B.Tech Lateral Entry programme (Diploma-holders)/ MBA/ MTECH should also submit their applications on-line. Candidates for PhD/ M Phil/ MA Translation-German & Russian / Diploma/ Certificate programmes need not submit online application form. They can obtain the  printed application from the concerned Departments. (see course of study) by paying the required application fee through Demand Draft issued by SBI or SBT only, drawn in favour of “Registrar, CUSAT” payable at Ernakulam

Note:- Candidates having both Plus-Two and three year Diploma qualifications and intending to apply for both regular  B Tech programmes and Lateral Entry to B Tech Programmes are required to submit separate applications by remitting the fees specified i.e. Rs.950/-+Rs.950/- for General candidates and Rs.425/-+Rs.425/- for Schedule Caste/Schedule Tribe candidates.

Candidates should retain sufficient number of copies of the Confirmation Page and the counterfoil of the fee chalan for their reference.

The online application submission is a two-stage process.

First Stage: In the first stage the candidate should furnish correctly all details required in the online registration form and  upload his/her  recent passport size(color) photograph (150 x 200 pixels) and signature (250 x 85 pixels). File size for both photograph and signature should be less than 30 kb.

Please note that once the application is confirmed by pressing the CONFIRM button, no further changes will be allowed.

Take printout of the chalan form along with  the instructions page and make payment in the bank. Please note that you can make payment in the bank only after two working days from the date of registration.(Make sure that the journal number is correctly entered by the  bank in the space provided in the chalan form before leaving the bank).

Second Stage: Re-login to the CUSAT website using the registration number date of birth and enter the payment details such as the journal number, bank name, branch name and code and date. Finally press the SUBMIT button to get your application print out which can be retained by the candidate.

No document in original or copy need be sent to the University, unless otherwise specifically requested for.

Candidates are requested to check the status ten days after the final submission of the application..

If the application submitted by the candidate is not approved within this time, the candidate should take necessary action as indicated in the status page.

Candidates who have applied for MBA/M Tech programmes should re-login during the period from 15-03-2013 to 30-03-2013 to submit their CMAT/GATE score details, respectively failing which such candidates will be treated as having no valid CMAT/ GATE score .

The candidates should download the admit card for the Common Admission Test from the website (http://cusat.nic.in) w.e.f. the April 24th, 2013. Admit cards will not be sent to the candidate’s address by post. Candidates must retain the Admit Card till the admission process is over. (To be produced wherever demanded)

No candidate will be permitted to appear for the Common Admission Test 2013 without a valid Admit Card.

Eligibility criteria for each programme are given in the prospectus.  The responsibility for ensuring satisfactory compliance to the prescribed criteria is vested solely with the applicant. Claims found untenable upon subsequent scrutiny shall result in summary disqualification of the applicant concerned and cancellation of any or all admission processes undergone.

 The choice of the Test Subject/Test Centre is the responsibility of the applicant alone and the selections once exercised in the Online Application Form shall be final and irrevocable. Even if a candidate takes the CAT according to a subject of his/her choice, but otherwise does not satisfy the conditions of eligibility prescribed in the Notification/Prospectus, he/she will not be considered for admission.

The candidates are requested to visit the website (http://cusat.nic.in) regularly to keep themselves updated.

The register number should be quoted in all   communications with the University.

Claims/Requests for benefits under any reservations (Communal Reservation/ Special Reservations etc.) other than what is indicated by the candidate in the CAT 2013 online application, will not be considered for counseling/admission.

The University reserves the right to add, delete or amend any of the stipulations regarding the reservation criteria, eligibility, intake, specialization, type of programmes, rules, regulations, fee structure etc. at any time without any notice and these will be applicable to the candidates seeking admission.

Remember, the registration number, date of birth, email id, phone no. etc are vital information to be provided by the candidate which will be required in the later stages of admission.

Part II -
Step-by-Step Instructions to Fill up the On-line Application Form

NAME OF THE CANDIDATE: Enter your name as in class X certificate of Board/University.  (ENGLISH CAPITAL LETTERS ONLY).

NAME OF MOTHER: Enter your Mother’s Name as in class X certificate of Board/University. (ENGLISH CAPITAL LETTERS ONLY).

OCCUPATION OF MOTHER: Select occupation of your Mother from the Drop Down Menu.

NAME OF FATHER: Enter the name of your Father as in class X certificate of Board/University.  (ENGLISH CAPITAL LETTERS ONLY)

OCCUPATION OF FATHER: Select occupation of your Father from the Drop Down Menu.

DATE OF BIRTH: Enter Candidate’s Date of Birth using the Calendar given on the right side of the field.

AGE: Enter candidate’s age as on 01 January 2013 . The age should agree with the date of birth furnished above.

GENDER: Select Gender from the Drop Down Menu.

NATIONALITY: Select Nationality from the Drop Down Menu.

STATE: Select State to which the candidate belongs from the Drop Down Menu. See notes on Keralites (Communal Reservations are applicable to only for canidates belonging to the state of Kerala)

PERMANENT ADDRESS: Enter your Permanent Address.   (Your House No. /Name, Street address, State etc.)

COMMUNICATION ADDRESS: Enter your Communication address.

PIN CODE: Enter pin code.

PHONE NUMBER WITH STD CODE: Enter your Telephone Number with STD Code, if any

MOBILE NUMBER: Enter your Mobile Number, if any

E-MAIL ID: Enter your active e-mail ID, if any

RESERVATION CATEGORY : Select your Reservation Category from the Drop Down Menu. Only the categories, which are eligible for Communal Reservation as per Kerala Government Rules, are given in the Drop Down Menu.

OEC STATUS: Enter either “YES” or “NO” depending upon whether you are eligible for OEC benefits.

ANNUAL FAMILY INCOME: Select Annual Family Income (range) from the Drop Down Menu. The correctness of your entry should be cross checked with reference to the Income Certificate obtained from the competent authority for the financial year 2011-2012.

Click “NEXT” button to proceed. If there are no mistakes you will be navigated to the next page. If you are not navigated to the next page, check whether there is any error notifications in red letters on the right side of each field of information furnished by you. If yes, make necessary corrections and then click "NEXT" button.

SPECIAL RESERVATION: Select Special Reservation Category/Categories applicable to the courses for which you wish to apply and for which you are eligible. (E.g.: -NRI reservation is applicable only for B.Tech courses and if you select this you are required to remit Rs.5000/- in addition to normal application fee)

ELIGIBILITY QUALIFICATION: Select your Eligibility Qualification carefully from the Drop Down List for the course/courses, which you wish to apply.

COURSE APPLYING FOR: Select the course applying for from the Drop Down Menu.  If you wish to apply for more than one course select “OTHERS”.

SUBSIDIARY SUBJECTS: If you are a Graduate you should select the subsidiary subjects of your degree correctly from the Menu. If it is more than one main system enter the other two as subsidiaries. This field is not visible if the eligibility qualification is Plus-two/ equivalent.

PROGRAMES TO WHICH ADMISSION ARE SOUGHT: This field is visible only if the Course Applying For is “Others”. You may select one or more of the Programmes to which you seek admission if they are compatible with the Eligibility Qualification entered earlier. There is only one test for all branches of B.Tech programmes and 5 year Integrated MSc in Photonics.

TEST CENTRE: Select test centre from the Drop Down Menu. Test Centre once selected cannot be changed under any circumstance. Candidates opting Test Center at Dubai should remit an additional amount of Rs 10000/-(Rupees Ten Thousand only) by way of Demand Draft issued by SBI or SBT only favouring Registrar, CUSAT payable at Ernakulam

TEST SUBJECT: The test subjects for CAT 2013 that are compatible with the Academic Programmes chosen are displayed and you may select the necessary test subject from the list. Not applicable for Plus-two level candidates.

Click “NEXT” button to proceed or “PREVIOUS” button to go back.

The next step is uploading your photograph and signature.

Make sure that you have saved your photograph and signature in jpeg format in your computer. The File size for the photograph is ( 150 x 200 pixels ) (Width x Height ) (File Size Less than 30 Kb) and for signature it is (250 x 85 pixels) (Width x Height ) (File Size Less than 30 Kb).

Click the "Browse" button and select your photograph and signature from the folder where ou have saved it.

Now click the "Upload Photo and Signature" button. If the images are correctly uploaded, you can see the images on the screen.

FEE DETAILS:  Specify the name of the bank where you intend to remit the registration fee.

Now you may press the “SUBMIT” button for a preview of the details you entered.  You should satisfy yourself that all the required details have been entered correctly in the online form.

If any entries are incorrect /missing, press the “BACK” button for going back to the particular form for necessary corrections.

If the candidate is satisfied with the entries, press the “CONFIRM”, button for completing the first stage of registration process.

Please note that once the application is confirmed by pressing the CONFIRM button, no further changes will be allowed.

Candidate should note down the Registration Number displayed. Now Press the “DOWNLOAD YOUR CHALAN ” button and take printouts. Candidate may SAVE a copy for future reference.

Take printout of the chalan form along with the instructions page and make payment in the bank after two working days from the date of registration. At the bank make sure that the journal number is correctly entered by the bank official in the space provided in the chalan form before leaving the bank.

After making payment in the bank you should immediately re-login to the CUSAT website using your registration number and date of birth. Now enter the payment details carefully such as the journal number, bank name, branch name and branch code and date.

The details entered should be carefully checked again before proceeding further.

Now to complete the final stage of the registration process, press the SUBMIT button and get your application print out which can be retained by the candidate for future reference.

However, candidates opting Test Center at Dubai should sent a Demand Draft issued by State Bank of India or State Bank of Travancore only for Rs 10000/-(Rupees Ten Thousand only) drawn in favour of the Registrar, CUSAT payable at Ernakulam in addition to the fee paid using chalan along with a copy of their confirmatin page to the Director, IRAA,Cochin University of Science and Technology, Kochi 682022. The documents along with Demand Draft should reach the IRAA office on or before 07-03-2013.

Candidates are requested to check the status ten days after the final submission of the application.

If the application submitted by the candidate is not approved within the time, the candidate should take necessary action as indicated in the status page.

Important:-Candidates whose application status is “Pending Approval” for any reason given below should take necessary remedial action immediately and should see that his/her application status becomes “Approved” before 08-03-2013 by visiting this site again.

How to rectify the following mistakes in the application

If payment is not approved -- Candidate should send the copy of confirmation page along with the fee chalan to the University, duly signed by the candidate and the parent. To rectify probable mistakes, do the following checks also.
Check whether the fee chalan amount is sufficient.
 Check with the bank whether the journal number entered in the chalan is correct.
If Photo is not approved – Candidate should paste a recent passport size photo on the space of the photo on the confirmation page and send along with the University copy of the chalan to the University, duly signed by the candidate and the parent.

If signature is not approved -- Candidate and his parent should sign on the space provided in the confirmation page and send along with the University copy of the chalan to the University.
The above documents should be sent to   “The Director, IRAA, Cochin University of Science And Technology, Kochi – 682022” by speed post. The last date of receipt of such documents is 07/03/2013 05.00 PM IST.

PLEASE NOTE THAT NO REQUEST FOR CORRECTION WILL BE ENTERTAINED ONCE YOU FINALIZE THE APPLICATION SUBMISSION.
